The Opportunity

We are currently seeking an experienced Medical Administrator to support our Health Centre located at our Mineral Resources headquarters situated in Osborne Park. This role is the first point of contact for employees with the clinic and plays a vital role in ensuring a high standard of customer service, operational efficiency, and administrative support. This position provides front desk reception duties, supports two General Practitioners and one Registered Nurse, and supports the wider clinic’s occupational health team.

  • Manage front desk operations, including answering phone enquiries, booking and updating patient appointments, and communicating changes to clinical staff.
  • Coordinate patient flow and support the Registered Nurse with triaging walk-ins, results management, and recall bookings.
  • Maintain accurate and confidential medical records in accordance with the Privacy Act 1988 and clinic protocols.
  • Process Medicare claims and invoices for Group Occupational Health, ensuring compliance with payment agreements and KPIs.
  • Compile operational reports and support daily clinic functions to ensure service continuity and quality.
  • Order and monitor office supplies, maintain cost records, and identify efficiency opportunities.
  • Support General Practitioners, the Registered Nurse, and the Occupational Health Manager in the delivery of clinical and occupational health services, including broader project support.
  • Comply with relevant legislation, clinic policies, and regulatory standards while demonstrating commitment to a safe, high-quality healthcare environment.

Governance, Safety & Quality

  • Promote and maintain a safe, compliant, and respectful work environment aligned with the National Safety and Quality Health Service Standards.
  • Participate in quality improvement initiatives, mandatory training, and performance reviews in line with MinRes policies and procedures.

What is Required

  • Certificate IV in Business Administration and or Certificate IV in OHS/Health Care Administration desirable
  • Extensive experience working in a dynamic, agile administrative role and have demonstrated experience in a health care or GP practice setting.
  • Excellent verbal and written communication skills.
  • Strong time management skills and ability to multi-task.
  • Experience and ability to oversee clinical delivery of services, including Medicare billing.
  • Proficient in Microsoft Office Suite, with Intermediate Excel skills required.
  • Proficient with digital health systems, including PRODA, Best Practice, Hot Doc or Health Engine.
  • Experience and ability to manage medium sized projects and understand health challenges
