The opportunity

We are seeking a proactive and detail-oriented Assistant to provide high-level administrative support to our Director, with additional responsibilities supporting the Sales and Marketing team.  In this pivotal role, you’ll coordinate travel and business activities and deliver secretariat services in both English and Chinese.  In addition, you will play a vital part supporting Sales and Marketing function, assisting with documentation, and international trade administration for the Lithium team, as well as the support for the commercial activities of the joint venture’s projects.

Senior Sales and Marketing Administrator will report directly to our Director International Trade and Strategy.

Your primary responsibilities:

Administrative Support:

  • Provide comprehensive daily administrative support to the Director.
  • Manage the Director’s diary, meetings, appointments, and scheduling.
  • Organise all travel arrangements, including flights, accommodation, itineraries, and expense claims.
  • Coordinate site visits, business events, joint venture meetings, and related activities.
  • Offer secretariat support: provide interpretation (English and Chinese) as required, prepare agendas and minutes, arrange signatures/approvals, translations, and maintain filing systems/databases.
  • Process credit card and business expenses, including reimbursements and accurate record maintenance.
  • Deliver additional administrative services as requested.

Sales and Marketing Support:

  • Assist in preparing documentation and presentations including translations.
  • Support the International Trade and Documentation team for all sales and marketing activities within the Lithium team.
  • Aid team in communicating and coordinating with the project team and JV partners on submission and approvals of JV matters.

What is required

  • Highly experienced business administration at a senior level
  • Tertiary degree in accountancy /commercial or business admin preferred
  • Previous experience supporting sales or international trade teams is highly regarded.
  • Excellent attention to detail and ability to deliver results while working on multiple tasks with tight timeframes.
  • Fluent in both English and Chinese (essential) to qualify in this role.  Qualification or certification in interpreting between the languages is highly desirable.
  • Demonstrate intermediate advanced skills and knowledge of accounting software, Word, Excel, PowerPoint, as well as other Microsoft Office applications
